PUBLICITY - My Task

My wonderful co-publiciser, Claire and I got together in around Week 4 to discuss what was required to complete role of play publicists successfully. We came up with a list we felt we needed to fulfill - some things were added later (such as sourcing gifts). See below for a blow by blow account.

  • Find a name for this show
Claire and I officially came up with the name Quarter Acre Dreaming during the set painting workshop in Week 8. Other names we had considered included Supurbia, The Verge and Suburban Dreams. None of them quite rang true. We needed something about dreaming... we toyed with some ideas and then snap. It fell out of the ether and everyone loved it.
  • Design a flyer
Claire and I designed our flyer by utilising Monica's photography skills to snap an image of our set letter box on a quarter acre block. Tristan Clement's photo editing skills then helped us realise the vision we had for gaudy dream-like colours (inspired by Howard Arkley), the font written in the sky and on the letterbox.

  • Cost printing for the flyer, posters and programmes
Rowan Brown at Deakin printing gave us some very competative prices for our printing. See our initial costings chart below.

After several emails with Yoni who did some wheeling and dealing with the Creative Arts Department, to print our programmes and headshots, we managed to simplify our costs to just $30 with Deakin printing.

  • Print and distribute the flyer, posters and postcards
We collected our printing the week before production, distributed the postcards and posters to our co-performers and spent a long tiresome afternoon trapsing around campus to hang the advertising in every oraphice of the university.
  • Create a facebook group page for production task suggestions
This was done at Tom's suggestion, so we could communicate about production tasks without cluttering up Blackboard or our inboxes. We did manage to communicate a few tidbits this way - reminders about biographies, lighting suggestions, costume updates. It would have been better if we'd done it sooner.

  • Create a facebook invitation, invite guests, send reminders for the performance dates through facebook

  • Send out e-invitations to VIP guests
After recieving the recipiants address from Yoni, I sent out this VIP Invitation on Tuesday 4th May.

  • Create an advertisment for the faculty newsletter - find out word limit and formatting requirements.
I sent the following to Clarissa Vinen who puts the faculty newsletter together...

Quarter Acre Dreaming: this cutting edge, cross-cultural, collaboratively devised performance will run from May 19th – 21st, 2010 at Deakin University, Melbourne. The play, directed by Yoni Prior, co-written by 3rd Year Performing Arts Students and English Language Students from The University of Amsterdam examines the development of the Australian identity through exploring the roots of the suburban dream. Travelling across a sweeping time span of over 400 years, the performance features an intriguing, innovative and daring paradigm in the form of live feed streaming scenes directly from Amsterdam.

  • Create a play programme - create graphics, source lists, photographs, director's notes, names and thank-yous for the programme.
This particular job took quite a bit of orchestrating. I collected all of the bits of information via email with Yoni, Rose and Blackboard... During this process, I was moving house and I had a bit of an "out of the ether" moment. I was cleaning out some shelves and I found - of all things - a full deck of old stamps from Amsterdam. It was an INSPIRED find, as I realised the connection with our mail box in our play's symbol for our advertisting material.

I sourced some more iconically suburban Australian stamps and used them all throughout the programme.

  • Create a Biography Board for the foyer of the production - take photographs, edit, collate biographies, print, mount and display.

We took the headshots of our classmates over a couple of weeks. Claire drove this particular task and did a fabulous job of collating, printing, mounting and displaying the biography board.

  •  Create no mobile phone and strong language warning signs for the foyer
  • Create signs with directions to Phoenix Theatre for around campus
These next two points were a bit of a last minute job, conducted in Yoni's office on the afternoon before opening night!

  • Create a card for the Dutchies to wish them luck
I'm afraid for this one we get an F for fail. I actually did create a blank letterbox flyer for us to all sign and send to congratulate the Dutchies on our final night, however because I was sourcing presents, I just didn't get time to colour print it ! :o( They posted us a gorgeous congratulations card!

  • Collect cash and source and organise thank-you gifts for our techies, our director and our volunteer set builders

Myself, Sarena, Tom, Michelle and Marianne went out shopping on Thursday and picked up lots of goodies for our Thank-you gifts. I collected Yoni's flowers on Friday and we got them ready to present for that night -  I was cutting up bits of grass for the picture frame we put together right until the last second. I must say the presentation ended up being a bit of a shamozzle - we'd planned to give a little speech, but the music was so loud we couldn't really master that outcome.

By the way - thanks for the image, Yoni - I pinched it off your facebook. ;)
